We are a rapidly expanding practice specializing in Geriatric and Adult Psychiatry within long-term care settings and outpatient offices. Our team of expert psychiatric professionals serves skilled nursing and subacute rehabilitation facilities in New Jersey and surrounding states, offering TMS services through our partner organization, Pelorus TMS.

Job Summary

This Administrative Coordinator role is located on-site in our Cedar Knolls location. The successful candidate will report to our Office Manager and work closely with the administrative team. We seek a motivated and reliable individual with strong attention to detail, exceptional multitasking capabilities, and an ability to work under pressure.

Key Responsibilities
  • Facilitate day-to-day practice operations, including provider requests, patient requests, email correspondence, and high-volume phone calls.
  • Assist with routine administrative functions, such as voicemails, prior authorizations, schedule build, refills, record requests, letters/forms, scanning, and faxing.
  • Coordinate and schedule on-demand telepsychiatry evaluations.
  • Assist with A/R through QuickBooks Invoicing on a monthly basis.
  • Oversee patient billing inquiries spreadsheet.
  • Work closely with the administrative staff to increase and maintain office efficiency and procedures.
  • Mitigate patient concerns and office issues as they arise.

Qualifications
  • Bachelor's degree preferred.
  • Must have 3+ years of relevant experience, preferably in a healthcare setting.
Work Schedule
  • Full-time.
  • On-site.
  • Monday to Friday, generally from 9 am to 5 pm.
