Position Overview - The Chestnut Hill School is in search of a skilled Administrative Coordinator to deliver reliable, confidential, and professional support to the Head of School and senior leadership team as required. This role is pivotal in fostering communication and collaboration among the Head of School, administrators, faculty, staff, trustees, and families, ensuring that the school's mission remains at the forefront of all initiatives.

Key Responsibilities

  • Support for Head of School:
    • Prioritize and organize daily tasks effectively.
    • Manage and confirm the Head of School's calendar and appointments.
    • Assist in the preparation and logistics for Board of Trustees meetings, including documentation and catering.
    • Attend Board meetings to take minutes.
    • Coordinate travel arrangements as necessary.
    • Monitor and reconcile expenses incurred by the Head of School.
    • Undertake special projects as directed by the Head of School.
  • Administrative Team Assistance:
    • Plan and organize events leading up to graduation, including the Farewell Dinner.
    • Contribute to the planning of significant school events as needed.
    • Facilitate hiring processes by coordinating interview schedules and welcoming candidates.
  • School-Wide Support:
    • Oversee all internal and external school calendars, room bookings, and event scheduling.
    • Prepare a weekly internal newsletter to communicate news and events.
    • Manage the Staff Support Budget.
    • Coordinate catering for staff lunches and celebratory events.
    • Prepare orientation materials for new staff at the beginning of the school year.
    • Provide coverage for the front reception desk as required.
    • Assist with general clerical tasks as needed.
    • Perform additional duties as assigned by the Head of School.

Qualifications:

  • Bachelor's degree.
  • Three to five years of relevant professional experience.
  • Experience in an educational environment is preferred, particularly in independent schools.
  • Strong interpersonal skills with a proven ability to work collaboratively in a team-oriented setting.
  • Effective decision-making and prioritization abilities.
  • Exceptional organizational skills with the capacity to manage multiple tasks simultaneously.
  • Excellent written and verbal communication skills.
  • Proficient in technology, including Google and Microsoft Office Suites.
  • Event planning expertise.
  • Commitment to maintaining confidentiality.
  • A warm, personable demeanor with a good sense of humor.
  • High energy and enthusiasm for working in a small school environment.
