Position Overview: Export Coordinator

The primary responsibility of the Export Coordinator is to meticulously review and manage export transactions, encompassing all associated activities for one or more significant accounts, while delivering exceptional and prompt customer service. This role involves handling both ocean and air exports. Key responsibilities include preparing freight quotes, monitoring freight status, and processing invoices. The Export Coordinator ensures that all tasks are executed accurately and in adherence to government export and transportation regulations.

Supervisory Duties:

  • No supervisory responsibilities.

Key Responsibilities:

  • Foster a positive rapport with clients by guaranteeing outstanding and timely customer service in collaboration with other departments and external partners.
  • Receive, evaluate, and process high-volume and/or intricate export transactions for clients, including booking, documentation, and billing.
  • Input data into the Company's system and relay shipment information to various governmental bodies as required.
  • Conduct checks on shipments in the warehouse to confirm that shipping documents align with actual shipments.
  • Generate bills of lading for outgoing shipments.
  • Monitor and assess shipping status to ensure timely departure and delivery of freight; enter milestone data accordingly.
  • Verify that shipments of hazardous materials are processed in compliance with all relevant regulations under the International Air Transport Association and the Code of Federal Regulations.
  • Prepare quotations for individual shipments, including estimating costs for the shipper and selecting appropriate transportation providers.
  • Inspect the warehouse to verify shipments post-documentation to ensure accuracy of shipping documents.

  • Proficiency in Microsoft Office, particularly Excel and Outlook.

Education and Experience Requirements:

  • A minimum of 2 years of relevant experience in the freight forwarding or logistics sector.
  • Experience with air freight is essential, while ocean freight experience is advantageous.
  • Familiarity with CargoWise's Enterprise system is required.
