Position Summary
The Client Relations Specialist/Production Support role is designed to deliver exceptional customer service through various communication channels, including email and phone. This position encompasses administrative responsibilities such as data management, filing, and transaction oversight. The successful candidate will utilize their communication skills and product knowledge to nurture positive relationships with customers and suppliers. Additionally, this role will collaborate with multiple departments to develop operational guidelines and verify the accurate use of raw materials through our ingredient management system.

Key Responsibilities

  • Ensure compliance with customer requirements, standard operating procedures, and master data management.
  • Process customer purchase orders as necessary.
  • Coordinate with third-party logistics providers for order fulfillment.
  • Communicate effectively with clients regarding order discrepancies and modifications.
  • Prepare invoices for customers and internal stakeholders.
  • Support quality assurance and inventory management processes as required.
  • Manage order processing and prioritize shipments within the management system.
  • Perform general office tasks, including scanning, filing, and researching documentation.
  • Address customer inquiries related to service issues, product information, and pricing.
  • Develop standardized work instructions for various departments by compiling existing documentation and examples.
  • Enhance usability of work instructions by incorporating visual aids and step-by-step guidance.
  • Test the effectiveness of work instructions through practical application and collaboration with team members.
  • Maintain organized records of completed procedures for easy access and tracking.
  • Assist in reconciling inventory within the management system.
  • Manage ingredient consumption data and generate relevant reports.
  • Conduct data entry and maintain spreadsheets, performing basic analysis as needed.
  • Fulfill additional responsibilities as assigned.

Minimum Qualifications

  • Ability to work autonomously and collaboratively within a team.

  • Sound judgment in determining appropriate actions within established guidelines.
  • Experience with enterprise resource planning (ERP) systems is advantageous.
  • Excellent written and verbal communication skills.
