Position Summary:
Reporting directly to the Marketing and Communications Manager, the Exhibition Event Manager will spearhead the planning and execution of more than 30 regional and national trade shows and external events for our business operations across North America. This role encompasses the management and continual updating of the comprehensive events schedule, alongside the meticulous organization and execution of each individual event.
Key Responsibilities:
- Oversee and maintain the overall trade show and event calendar for our divisions.
- Collaborate with marketing and sales teams to create event campaigns that enhance our growth and brand visibility.
- Coordinate event logistics with internal teams to ensure comprehensive coverage.
- Communicate effectively and consistently with stakeholders regarding all programs and opportunities, including detailed briefing documents and logistical information.
- Develop and implement scalable processes to support communication, documentation, and operations related to vendor management and internal stakeholder interactions.
- Manage lead tracking and return on investment (ROI) analysis.
- Assist with on-site logistics, travel arrangements, and other necessary activities.
- Create detailed plans for each event, covering due dates, responsibilities, tasks, budgets, exhibitor forms, shipping details, promotional materials, and post-event follow-up.
- Develop pre- and post-event communication and nurturing strategies in collaboration with marketing and product teams.
- Ensure all trade shows are managed within the allocated budget.
- Work with exhibit services and external vendors to guarantee timely shipping of products, displays, and equipment to events.
- Oversee the ordering, inventory, and distribution of branded promotional items.
- Build relationships with industry associations and event/trade show teams.
- Identify opportunities for co-marketing campaigns with distributors and internal sales representatives.
- Plan and execute customer receptions at trade shows.
- Coordinate with the legal department for updates to liability insurance as required.
Qualifications:
- Bachelor's degree in Marketing or Communications.
- A minimum of five years of experience in marketing.
- At least two years of experience specifically in trade shows.
- Proven expertise in event planning and management best practices.
- Experience in a fast-paced environment with a successful track record of managing multiple events with competing priorities.
- Exceptional skills in program, project, and time management.
- Highly organized, detail-oriented, results-driven, and capable of handling stress and urgent requests.
- Consultative approach to addressing questions and concerns.
- Strong budgeting, negotiation, and vendor management skills.
- Proficient in project management tools such as Smartsheet.
- Excellent verbal and presentation skills.
- Proficient in Microsoft Office Suite.
