Job Summary:
Babcock Power is seeking a highly organized and detail-oriented Project Administrative Assistant to support the Project Management team. This role will be responsible for maintaining public project information, managing the Weekly Flash Report, and providing administrative support to Project Managers.

Key Responsibilities:

•Maintain the KPI performance chart on the TEi Operations SharePoint site.

•Add new projects to the Project Listing Data file (PLDF) in SharePoint and ensure the project information is complete and accurate.

•Maintain PM department reports currently stored on SharePoint, including Customer Surveys, Continuous Improvement Meeting results, Weekly Flash Report, etc.

•Retrieve and record monthly KPI performance on the TEi Operation SharePoint site.

•Record MDL and DDTS status on the performance spreadsheet.

•Participate in the 1049 kick-off meeting with Project Manager and assist in capturing meeting minutes and action items.

•Assist PMs with project KICKOFF activities and CLOSE activities.

•Audit projects to verify that MDLs have been created and MDL statuses demonstrate the Project Launch milestone.

•Provide project invoicing support for Project Managers, as needed.

•Work with Quality Systems Manager to help keep NCRs and SNFs moving through DMS.

•Support the transition of projects when new Project Managers enter the team or when projects are reassigned.

•Create expense reports for PMs, Manager of Project Controls, and Head of Project Management.

•Provide administrative travel support to Project Management.

•Lead Special Projects and assignments when assigned. Requirements:

•High School education minimum.

•Some College education preferred.

•Manufacturing industry experience is preferred.

•5 years in a similar position.

•Excellent communication and interpersonal skills.

•Must be organized and able to manage multiple projects to meet deadlines.

•Notary Public Certificate a plus.

•PowerBI knowledge and experience a plus.

•Expert knowledge of MICROSOFT Word, Excel, PowerPoint, and SharePoint
