The Role: Office Manager

The Office Manager is integral to the daily operations of the school, focusing on relationship building, safety, and overall school functionality. This position requires strong verbal and written communication skills, along with the ability to collaborate effectively with various stakeholders, including school leaders, shared services personnel, and instructional staff. The ideal candidate will manage multiple responsibilities efficiently.

Key Responsibilities:

Main Office Operations & Customer Relations

  • Serve as the primary contact for visitors and families.
  • Foster positive relationships with staff, students, families, and guests.
  • Oversee visitor welcome and sign-in processes.
  • Manage incoming mail and correspondence.
  • Handle phone calls, providing information or directing inquiries to the appropriate personnel.
  • Prepare and distribute written communications as needed.
  • Maintain organization in staff lounges, mailrooms, and offices.
  • Address student needs, including first aid and communication with families.

Attendance Management

  • Participate in the school attendance team.
  • Oversee daily attendance systems.
  • Manage late arrivals and encourage punctuality.
  • Issue truancy letters and coordinate related meetings.

Administrative Support

  • Assist school administration with daily tasks.
  • Facilitate check-ins for students needing administrative support.
  • Help schedule parent conferences and school events.
  • Organize appointments and school activities as required.
  • Support the planning and execution of various school events.

Procurement and Supply Management

  • Implement the school purchasing process, ensuring clear systems for staff requests.
  • Manage the ordering of instructional materials and supplies.

Time Reporting and Substitute Coordination

  • Oversee sign-in and sign-out procedures for substitute teachers.
  • Collaborate with administration to coordinate substitute coverage.
  • Assist substitutes in various roles as needed.

Student Records Management

  • Request and manage student records from previous schools.
  • Maintain and update student files regularly.
  • Assist with enrollment and registration processes.
  • Help organize and distribute progress reports.

Fieldwork Coordination

  • Manage logistics related to student transportation.
  • Support parent communication and permission slip management.

Minimum Qualifications:

  • A.A. degree required; Bachelor's Degree preferred.
  • Bilingual in Spanish required.
  • At least 2 years of administrative experience in a school, non-profit, or youth empowerment setting, preferably in an urban environment.

Skills and Attributes:

  • Detail-oriented with strong follow-through abilities.
  • Proactive, able to prioritize tasks and work independently.
  • Excellent verbal and written communication skills.
  • Proficient in Google Suite and Microsoft Office Suite.
  • Demonstrates maturity and independence.

  • Strong interpersonal skills with students, parents, colleagues, and community members.
  • Maintains professionalism under pressure.
  • Previous experience in educational settings or urban communities is preferred.
  • Possesses a sense of humor and enjoys working with children.

Supervision:

This position reports to the Director of Operations.

Time Commitment:

This is a full-time position with a structured schedule, including holidays and vacation time as per the school calendar.
