The Role

The Senior Sheriff's Records Specialist position is responsible for executing intricate and specialized clerical support within law enforcement, as well as overseeing lead responsibilities that encompass various functions such as criminal documentation, warrants, civil processes, and inmate processing. This role is exclusively designated for the Sheriff's Department, with specific duties tailored to the requirements of the assigned division.

Key Knowledge and Skills

Knowledge of:
  • Techniques for training and delegating tasks to junior staff.
  • Customer service strategies for managing interactions with individuals in challenging or confrontational situations.
  • Advanced clerical, legal, and law enforcement record-keeping practices and protocols.
  • Terminology related to law enforcement and legal matters.
  • California statutes regarding civil and criminal record-keeping procedures and codes.
  • Legal documentation and law enforcement forms.
  • Proper English grammar, spelling, and usage.
  • Basic mathematical and accounting skills for cashiering and calculations.
Ability to:
  • Provide leadership and direction to team members; plan, assign, and assess work to adhere to established timelines and standards.
  • Train and cross-train staff effectively.
  • Work autonomously and execute assignments with minimal oversight.
  • Comprehend, articulate, and apply complex judicial and law enforcement terminology, codes, and procedures relevant to record management and case files.
  • Evaluate legal and law enforcement documents for accuracy and compliance.
  • Establish and maintain productive working relationships.
  • Utilize modern office technology proficiently.
  • Read, write, and communicate in English at a level necessary for effective job performance.
Qualifications

Minimum Requirements:

Typing proficiency of at least 25 net words per minute from clear text.

Experience:

One year of experience as a Sheriff's Records Specialist (Level II) within Sacramento County service, or two years of experience in records management clerical roles within a law enforcement agency or court environment.

Special Requirements:

Successful candidates must pass a security clearance investigation conducted by the Sheriff's Department. Flexibility to work irregular hours, including holidays and weekends, is required. Incumbents may be assigned to work in close proximity to inmates or within a correctional facility.

Probationary Period:
The probationary period for this classification is six (6) months.
