TempExperts is in search of an Office Coordinator to support a dynamic organization in Tampa, FL.

The successful candidate will be responsible for overseeing administrative functions within the office while acting as the primary contact with the facilities management team. The ideal individual will be proactive, detail-oriented, enthusiastic, and possess excellent written and verbal communication abilities, along with the capacity to adhere to established protocols and take guidance.

Key Responsibilities:
  • Handle administrative duties including managing multiple phone lines, sorting and distributing correspondence, and coordinating conference room setups and audio/visual conference calls.
  • Ensure the functionality of all office equipment through regular checks and scheduled maintenance, including light bulb replacements as necessary.
  • Oversee monthly reporting and offsite record management, ensuring data entry accuracy.
  • Manage the ordering and distribution of office supplies.
  • Collaborate with facilities and vendors to address maintenance needs, including cleaning services, HVAC systems, filters, and adherence to equipment warranties and preventive maintenance schedules.
  • Work with facilities and internal staff to facilitate office relocations and prepare workspaces for new hires.
  • Perform minor repairs on office furniture such as chairs, desks, and filing cabinets as required.
  • Maintain the overall appearance of the office through regular inspections and necessary corrective actions.
  • Assist with various tasks and projects as required.
Qualifications:
  • Preferred college degree, though not mandatory.
  • Experience in office services or building maintenance is essential.
  • Familiarity with video conferencing, mailroom operations, and records management is advantageous.
  • Experience in a legal firm setting is a plus.
  • Strong verbal and written communication skills with the ability to engage with all levels of attorneys, management, and staff.
  • Proficient in Microsoft Outlook, Word, and Excel.
