Front Office Coordinator

As a Front Office Assistant at BAMSI, you will provide administrative support to our team, ensuring the smooth operation of our front office. Your duties will include providing direct support to clinic prescribers, scheduling appointments, and maintaining the reception area and waiting room. You will also be responsible for verifying insurance eligibility, collecting co-payments, and inputting information into our electronic health record system. Responsibilities
Provide administrative support to clinic prescribers, including scheduling appointments and taking messages
Maintain the reception area and waiting room, ensuring a clean and welcoming environment for our clients
Verify insurance eligibility and collect co-payments for services rendered
Input information into our electronic health record system
Collaborate with clinicians and billing manager on service authorization issues
Assist with appointment scheduling, both in-office and via Telehealth
Answer and direct telephone calls, provide reminder calls, and confirm appointments
Monitor and schedule staff trainings in a timely manner
Attend assigned meetings and assist Office Manager with recording minutes
Coordinate special program events as scheduled by the clinic and/or division
Distribute agency policies and other internal correspondence to staff in a timely fashion
Process and direct daily mail
Order and purchase office supplies as requested and approved by the Clinic Director
Operate and maintain office equipment and place service and/or maintenance calls as authorized
Assist in conducting clinic safety drills and fire drills
Secure the building and activate the answering system at the end of each evening shift
Provide coverage for Office Manager and Senior Office Assistant in their absence
Complete required employee trainings in accordance with BAMSI policies
Qualifications
High school diploma plus 1 year of experience working in an administrative office setting required
Understanding and experience working with individuals living with mental health/emotional disorders
Strong computer knowledge, including WORD, EXCEL, and OUTLOOK
Strong written and verbal communication skills required
Excellent office management and business sense, including organizational, telephone, and time management skills
Ability to multi-task in an effective and efficient manner
Dependable, self-motivated, creative, and innovative
Ability to work in a fast-paced and structured environment
Team-oriented and willing to work in a team-based setting
Must have a flexible schedule to assist with coverage as needed
Must have reliable transportation and a valid driver's license
