About the Role

We are seeking a highly organized and detail-oriented Administrative Assistant to support the Vice President of Talent & Culture. As a key member of our team, you will provide administrative support, manage calendars, and coordinate meetings to ensure the seamless operation of our Talent & Culture department.

Key Responsibilities
  • Manage the Vice President's calendar, schedule meetings, and oversee appointments.
  • Prepare and edit communications, presentations, and other important documents.
  • Coordinate meeting logistics, including preparing agendas, taking minutes, and ensuring follow-up on action items.
  • Support department initiatives, such as employee engagement, recruitment processes, onboarding, and training programs.
  • Maintain confidential HR files and records in compliance with company policies and legal requirements.
  • Assist in preparing reports and presentations on topics such as employee performance, talent development, and company culture.
  • Help manage HR systems and track and coordinate Talent & Culture projects.
  • Organize team-building activities, training sessions, and employee recognition programs.
  • Serve as a liaison between the department and other departments to ensure smooth communication and project alignment.
  • Draft, proofread, and distribute internal communications related to HR policies and initiatives.
Qualifications
  • Bachelor's degree in business administration, human resources, or a related field preferred.
  • 3+ years of experience as an administrative assistant, preferably in HR or a corporate setting.
  • Strong organizational skills and the ability to prioritize and meet deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite and HRIS systems like BambooHR.
  • Ability to manage sensitive information with discretion.
  • Strong attention to detail, with a proactive approach to problem-solving.
  • Comfortable working independently and as part of a team.
  • Occasional travel for meetings and events may be required.
