Job Summary

We are seeking a highly skilled and organized Administrative Assistant to provide exceptional support to the Vice President of Branch Programs and Services at The New York Public Library.

Key Responsibilities
  • Provide administrative support to the Vice President, including calendar management, meeting coordination, and special projects
  • Develop and maintain a robust filing system and ensure accurate and timely completion of administrative tasks
  • Communicate effectively with internal and external colleagues, including directors, staff members, and external partners
  • Assist in monitoring department budgets and expenses, and manage purchasing, reimbursement, and expense reports
  • Provide logistical support for department events and meetings
Requirements
  • Bachelor's degree and demonstrated administrative experience, or an equivalent combination of education and experience
  • Minimum 2 years of experience working as an administrative assistant or related position, preferably in a public library, cultural organization, or non-profit organization
  • Minimum 2 years of experience supporting a Vice President or Executive Director of an organization
  • Excellent written and oral communication skills, with impeccable grammar, punctuation, and spelling
  • Strong time management skills, with the ability to handle multiple concurrent projects and assignments with a high degree of accuracy and attention to detail
  • Flexibility, proactivity, resourcefulness, and efficiency, with a high degree of professionalism and discretion
