Maintenance Dispatch Coordinator

The Maintenance Dispatch Coordinator is responsible for receiving, documenting, and distributing service requests to maintenance crews based on customer needs. This role requires flexibility to work various shifts, including nights, weekends, and holidays.

Key Responsibilities

  • Receive, document, and allocate service requests to maintenance teams based on customer inquiries.
  • Oversee repairs and maintenance of government mobile and stationary equipment.
  • Maintain accurate records, including:
    • Customer name
    • Customer address
    • Equipment requiring service
    • Type of service needed
  • Prepare detailed work orders and notes.
  • Schedule service calls and dispatch maintenance teams, utilizing the Maximo government program for record-keeping.
  • Communicate with customers to ensure satisfaction with services rendered.
  • Keep thorough records of service calls and work orders.
  • Relay orders and special instructions to mobile teams and other departments via radio or cellular communication.
  • Perform additional duties as assigned.

Qualifications

  • High school diploma or GED equivalent required.
  • Associate degree preferred.
  • Minimum of 2 years of experience in a customer service or help desk role, ideally within a maintenance context.
  • Familiarity with HTEE is advantageous.
  • Valid driver's license is necessary.
  • Must successfully pass a background investigation.

Knowledge, Skills, and Abilities:

  • Exceptional organizational skills.
  • Ability to prioritize tasks and manage multiple responsibilities.
  • Proficient in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Willingness to work shifts that include nights, weekends, and holidays.
  • Strong verbal and written communication skills.
