Position Summary

Denver Botanic Gardens is in search of a Seasonal Event Production Coordinator to assist our Events Department. This role is essential in supporting the Public Events team at York Street by managing the installation and dismantling of lighting, sound, props, and scenic design elements for our immersive nighttime events, including Glow at the Gardens and Blossoms of Light. The position requires a flexible schedule, accommodating daytime, evening, weekend, and holiday shifts across various settings, both indoors and outdoors, under all weather conditions.

Key Responsibilities

  • Install and dismantle event equipment, including lighting and sound systems, props, scenic decorations, signage, barricades, and other supplies.
  • Execute event responsibilities during assigned shifts for Glow at the Gardens and Blossoms of Light, which may involve maintenance and troubleshooting of décor, lighting, and sound elements, as well as managing pathway closures and adapting events for adverse weather conditions.
  • Participate in safety protocols, including snow removal and ice management, while ensuring positive guest interactions.
  • Oversee volunteer pumpkin carvers and coordinate the production of carved jack-o'-lanterns for Glow at the Gardens.
  • Assist with inventory management, organization, and packing of event supplies at both on-site and off-site storage locations.
  • Complete production tasks in preparation for Glow at the Gardens and Blossoms of Light, which may include constructing props, scenic painting, and preparing equipment for installation.
  • Utilize Wrike, the team's project management system, to communicate project progress and inquiries.
  • Occasionally support the private events team with setup and crowd management for various client events.
  • Adhere to radio communication protocols and assist with basic administrative tasks in the events office.
  • Maintain regular attendance at the worksite and uphold the Gardens' mission of connecting people with plants, particularly those from the Rocky Mountain region and similar areas worldwide.

Qualifications

  • Comfortable operating ladders, electric pallet jacks, golf carts, and various power and hand tools.
  • Basic knowledge of electrical systems for lighting and sound installations is required.
  • Preferred skills in theatrical carpentry, prop-making, and scenic painting.
  • Mechanical aptitude is advantageous.
  • Ability to interpret event instructions, safety regulations, and installation diagrams.
  • Strong problem-solving skills and the ability to handle various concrete variables in non-standardized situations.
  • Physical capability to lift and maneuver up to 50 pounds regularly and perform labor-intensive tasks outdoors in diverse weather conditions.
  • Excellent customer service and communication skills are essential for interacting with the public.
  • Flexibility to adapt plans as necessary throughout the workday.
  • Proficiency in Microsoft Suite, particularly Word, Excel, Outlook, and Teams.
  • Commitment to safety and cooperation with colleagues and the public at all times.

Experience and Education

  • A high school diploma or GED, along with relevant experience, is required.
  • A minimum of 2 years in theatrical production, covering aspects such as lighting, sound, carpentry, painting, and production design is necessary.
  • A valid driver's license is required.

Travel Requirements

Up to 10% travel may be necessary for offsite storage unit visits.
