Role of the Client Relations Specialist
The Client Relations Specialist embodies a service-oriented mindset, contributing to the firm's operational efficiency and enhancing the client experience. Responsibilities include:

Administrative Responsibilities
- Acting as the first point of contact for visitors, showcasing a welcoming demeanor.
- Handling incoming calls, taking accurate messages, and directing calls appropriately.
- Maintaining organized electronic and paper filing systems.
- Assisting in the coordination of marketing efforts and managing client communications.
- Providing administrative support for client tax return preparation, including document management and data entry.
- Gathering information for client accounting services and tracking professional development hours.
- Performing additional administrative tasks as required.
Client Service Duties
- Preparing and submitting new account paperwork, ensuring all forms are completed accurately.
- Managing routine client account matters, including changes to personal information and beneficiary designations.
- Assisting in the preparation of client meetings, including agenda distribution and material organization.
- Corresponding with clients to address service challenges and providing timely updates.
- Effectively managing and prioritizing client service tasks while adhering to established workflows.
- Tracking outstanding client service items and proactively addressing issues.
- Guiding clients through online account access and assisting with any related inquiries.
Operational Support Functions
- Conducting data entry and generating reports using various software applications.
- Assisting in the development and ongoing refinement of client service workflows within the CRM system.
- Supporting additional operational projects, including technology initiatives and data analysis.
Qualifications
- A strong commitment to delivering high-quality performance in all responsibilities.
- 3+ years of experience in professional services, preferably in Wealth Management or Accounting.
- A high school diploma or equivalent; a Bachelor's degree is highly preferred.
- A friendly and approachable demeanor.
- Exceptional written and verbal communication skills.
- Demonstrated experience in administrative or client service roles.
- Strong organizational and time management abilities.
- Attention to detail and accuracy in recordkeeping.
- Ability to work independently and collaboratively in a fast-paced environment.
- A curious mindset with a dedication to continuous professional development.
- Familiarity with core platforms such as Redtail and Microsoft Suite is preferred.
