About the Role

The Administrative Assistant for Disability Resources Logistics plays a vital role in providing essential administrative support to the reduced distraction testing center and Disability Resources at Carnegie Mellon University. This position is supervised by the Director of Disability Resources and is integral to maintaining a student-focused, fast-paced, welcoming, and inclusive environment.

Key Responsibilities
  • Testing Center Operations
    • Provide reception coverage as needed
    • Coordinate the comprehensive schedule and assignment of proctored exams for students with related accommodations
    • Ensure confidentiality and oversee exam preparation, proctoring, collection, and pick-up
    • Communicate with faculty and actively monitor proctoring-related communications
  • Testing Center Administrative Duties
    • Manage supply inventory and ordering
    • Coordinate sign language interpreting, captioning schedules, and video captioning processing
    • Process invoices in coordination with the Success Center Operations team
    • Manage requests for accessible course materials
    • Support the Director of Disability Resources with document, form, slide deck preparation, and other administrative tasks
    • Oversee camera management software
    • Maintain records and data management of confidential materials, case notes, and exam materials in the web-based system
    • Coordinate facility needs of the testing center
  • Student Academic Success Center and Campus Engagement
    • Participate in all team meetings, trainings, workshops, and represent Disability Resources and/or the Success Center at campus events and activities
  • Service to the University
    • Participate and volunteer for university-wide events and activities
    • Participate in training, workshops, committee involvement, and general campus activities
    Requirements
    • High School Diploma or GED
    • 1-3 years of administrative support experience; administration support experience in a higher education environment or rehabilitation services environment is preferred
    • A combination of education and relevant experience from which comparable knowledge is demonstrated may be considered
    • Successful background check
    Additional Information
    • Applicants for this position must be currently legally authorized to work for CMU in the United States
    • CMU will not sponsor or take over sponsorship of an employment visa for this opportunity
    • This is a full-time, non-exempt position
    • The typical work schedule is Monday-Friday from 11:00 am - 7:30 pm
