We are seeking an Executive Administrative Coordinator located in the Greater Washington D.C. Metropolitan area.
KEY RESPONSIBILITIES
In this position, you will work closely with the client, providing a range of services including Personnel Support, Reception and Administrative Assistance, General Office Management, and Travel Order and Claim Support.
As a vital member of the Executive Assistance team, you will facilitate interactions with senior executives (SES), high-ranking military officers, and other military and civilian personnel both within and outside the client's organization.
The ideal candidate will possess significant experience in a Joint Service Organization, demonstrating exceptional customer service and communication skills while regularly engaging with senior executives and military personnel.
Main Duties Include:1. Overseeing the coordination and processing of Joint Duty Military Performance Reports, Awards, and Pay Allowances.
2. Drafting correspondence and liaising with external agencies, including headquarters and major commands.
3. Preparing award templates in advance of departure dates and ensuring compliance with DoD Awards Manual and customer policies.
4. Supporting the Executive Assistant in promoting the Director and Division Chiefs.
5. Assisting with the preparation of various letters, including promotion and congratulatory letters.
6. Guiding newly arrived and departing personnel through the in/out-processing procedures.
7. Welcoming visitors and ensuring adherence to security and administrative protocols.
8. Serving as the primary point of contact for customer support inquiries at the reception desk.
9. Leading the development and implementation of efficient procedures and practices.
10. Independently drafting various types of correspondence in accordance with specific guidelines.
11. Assisting with quarterly ceremonies, including setup and cleanup.
12. Monitoring and managing office supply inventories and submitting purchase requests as needed.
13. Coordinating with GSA for office furniture and equipment issues.
14. Processing travel credit card applications and vouchers promptly.
15. Maintaining professionalism and integrity in a fast-paced environment.
16. Performing additional duties as assigned to support the client's mission.
QUALIFICATIONS
Must possess a Top-Secret Clearance with SCI Eligibility (adjudicated within the last 3 years).
A minimum of 5 years of experience in the DoD sector with a High School Diploma or equivalent is required.
PREFERRED QUALIFICATIONS
Experience in processing Travel Orders using DTS in elevated roles.
Advanced Defense Travel Course Administrator certification.
Certification as a CAP, CAA, or CAPM is highly desirable.
A Bachelor's Degree in a relevant field.
Experience in staffing correspondence and coordinating with external agencies.
Familiarity with handling classified materials, including Top Secret and Sensitive Compartmented Information (SCI).
Experience in coordinating special events and overseeing a records management program is advantageous.
Ability to work independently and collaboratively in a fast-paced environment, along with expert knowledge of Microsoft Office suite tools.
