Position Summary

The Property Operations Specialist embodies the core values and mission of Northwestern Medicine, adhering to the organization's ethical standards and compliance protocols. This role is crucial in supporting the management of property operations, including overseeing ongoing projects, handling billing functions, and addressing operational challenges.

Key Responsibilities
  • Assist the Property Manager in daily operations.
  • Maintain positive relationships with tenants and parkers.
  • Conduct regular inspections of properties.
  • Initiate and follow up on work orders for maintenance and housekeeping.
  • Manage property documentation, including reports and service agreements.
  • Implement strategies to meet budgetary goals.
  • Develop and enforce operational policies to enhance efficiency.
  • Coordinate staff schedules for optimal facility coverage.
  • Enforce operational guidelines and emergency protocols.
  • Provide assistance to tenants and users of the parking facilities.
  • Handle communication and reporting of daily property issues.
  • Maintain accurate records and documentation.
  • Identify and report any operational challenges to the Property Managers.
Additional Duties
  • Prepare necessary reports and presentations.
  • Assist in managing operating budgets for properties.
  • Review invoices for payment approval.
  • Oversee maintenance agreements and supply procurement.
  • Manage inventory of keys and access controls.
  • Maintain property access schedules.
  • Update and manage informational materials related to properties.
  • Assist in preparing annual budgets.
Qualifications

Required:

  • Bachelor's degree or equivalent experience.
  • 1-3 years of experience in property management.
  • Proficiency in Microsoft Office Suite and property management software.
  • Strong analytical and financial skills for budgeting and billing.
  • Excellent interpersonal and communication skills.
  • Customer service-oriented mindset.

Preferred:

  • Experience in parking operations.
