Role Summary

The Property Operations Specialist embodies the mission, vision, and values of Northwestern Medicine, adhering to the organization's Code of Ethics and Corporate Compliance Program while complying with all relevant policies, procedures, and regulatory standards.

This role functions as an assistant property manager, overseeing ongoing projects, managing billing functions, and addressing issues as they arise, including daily parking concerns. Additionally, the specialist manages the daily operations of parking facilities owned and operated by Northwestern Memorial Hospital in accordance with established policies and procedures.

Key Responsibilities
  • Support the Property Manager as needed.
  • Maintain effective relationships with parkers and tenants within the parking facilities.
  • Conduct regular inspections of properties.
  • Initiate work orders for Facilities Management or Housekeeping and follow up accordingly.
  • Oversee property documentation, including daily, monthly, and annual reports, service agreements, invoicing, and compliance with insurance and policies.
  • Develop and implement strategies to meet budgetary goals.
  • Establish additional policies and procedures to enhance operational and financial efficiency.
  • Coordinate staff schedules to ensure adequate facility coverage.
  • Enforce operational guidelines and emergency procedures.
  • Provide assistance to current parkers, tenants, and campus parking program users.
  • Manage communication via telephone, taking messages and providing relevant information.
  • Report daily issues and occurrences to the appropriate managers.
  • Maintain organized files, reports, and blueprints, ensuring accurate building measurements.
  • Identify and communicate problematic situations to Property Managers in a collaborative manner.
Additional Duties
  • Prepare reports, proposals, and presentations as required.
  • Assist in managing operating budgets for Northwestern Memorial Hospital properties.
  • Review and authorize invoices for payment.
  • Oversee contracted work, maintenance agreements, capital expenditures, and supply purchases.
  • Manage inventory of keys and transponders, liaising with service providers as necessary.
  • Maintain property access schedules as needed.
  • Update and maintain property and program informational materials.
  • Contribute to the preparation of the annual expense and capital budget.
Qualifications

Required:

  • Bachelor's degree or four additional years of relevant experience.
  • One to three years of experience in property management.
  • Proficiency in Microsoft Word, Excel, and parking facility management software.
  • Analytical and financial skills for budgeting, billing, and monthly reconciliation.
  • Strong interpersonal skills.
  • Excellent written and verbal communication abilities.
  • Customer service orientation.

Preferred:

  • Experience in parking operations.
