Role Overview:

This full-time position is integral to our operations, focusing on supporting the company's landscape services for various public and private clients. The Procurement Specialist will be tasked with generating all Purchase Orders related to project costs and will oversee the procurement of bulk materials necessary for maintenance and snow removal services. Establishing effective communication and relationships with vendors to secure optimal pricing for materials and supplies is essential.

Compensation: The salary range for this position is $55,000 to $65,000 annually, commensurate with education and experience.

Key Responsibilities:

  • Act as the primary administrative contact for all landscaping, maintenance, and irrigation projects.
  • Coordinate with Project Managers, Foremen, and Designers to ensure timely delivery of all necessary materials, equipment, and supplies to project sites.
  • Prepare and manage purchase orders for the landscaping, maintenance, and irrigation departments.
  • Conduct reconciliations for all purchase orders, invoices, quotes, and estimates.
  • Verify the accuracy and completeness of packing slips and receipts.
  • Compile project documentation, including client sub packets and project books.
  • Input job-related expenses into the system, approve payments, and forward to the accounting department.
  • Engage with vendors to gather information regarding products or services, including pricing, availability, and delivery timelines.
  • Collaborate with the Operations Manager to assess project needs, update records, review bid proposals, and negotiate contracts within budgetary constraints.
  • Maintain organized records of procurement activities, including purchases, costs, delivery, product quality, and inventory.
  • Work alongside the Facilities Manager to manage DOT files for employees and fleet.
  • Assist with additional duties as required.

Qualifications:

Education: A high school diploma or equivalent is required.

Experience: A minimum of 1 year of relevant work experience is necessary.

  • Ability to work collaboratively within a team.
  • Proficient in Microsoft Office, particularly Excel and Google Sheets.

  • Strong organizational, multitasking, and business acumen skills.

This position does not include supervisory responsibilities.
