Administrative Coordinator

We are seeking an experienced Administrative Coordinator to join our team at Tufts University. The successful candidate will provide advanced administrative support and communications for the department, serving as the primary contact for graduates and other constituents.
Key Responsibilities- Provide back-up and support to the primary National Board of Medical Examiners exam administrator, including creating exam schedules, ordering exams, and coordinating with Maine staff.
- Communicate and coordinate with the Office of Educational Affairs, completing requests for certification of medical education for graduates, and assisting with the annual registration requirements for all 4 classes in Canvas.
- Serve as the primary department contact for customers, explaining and enforcing department policies and procedures, and providing instructions and guidance on medical education verification processes.
- Plan and coordinate meetings and special events, including the annual May Commencement, and coordinate with the Graduate School of Biomedical Sciences staff.
- Coordinate with PHPD on a semester basis to obtain MD/MPH program students' course registrations and grades, and update StuART accordingly.
- Knowledge and skills as typically acquired by a high school diploma/GED and 5+ years of administrative experience, or a Bachelor's degree and 3+ years of experience.
- Advanced knowledge of Microsoft Office suite, including word processing, editing, and graphics functions, spreadsheet, and database knowledge.
- Excellent organizational and interpersonal skills, with the ability to work effectively with diverse populations and manage competing demands.
- Knowledge of Microsoft office suite and Student Information Systems, excellent communication and presentation skills, and the ability to work independently and as part of a team.
- Flexibility and demonstrated competence to assess priorities, manage a variety of activities in a time-sensitive environment, and meet competing deadlines with attention to detail and quality.
The successful candidate will be required to work occasional evenings and weekends in preparation for and at school events, such as Orientation, Registration, clerkship scheduling meetings, White Coat Ceremony, Commencement, MSPE preparation, and class meetings.
Salary is based on related experience, expertise, and internal equity, with a minimum of $26.70, midpoint of $31.80, and maximum of $36.80.
