Job Summary

We are seeking a highly organized and detail-oriented Administrative Coordinator to provide exceptional support to our Investigator and laboratory team. The successful candidate will be responsible for managing complex scheduling, coordinating travel arrangements, and providing administrative support for various laboratory activities.

Key Responsibilities
  • Provide administrative support to the Investigator, including calendar management, correspondence, and document preparation.
  • Coordinate domestic and international travel arrangements, including itinerary preparation and expense tracking.
  • Manage laboratory meetings, seminars, and outings, ensuring smooth logistics and communication.
  • Assist with correspondence management, presentation development, and proofreading documents.
  • Work with researchers on visa and academic appointment issues, ensuring timely and accurate processing.
  • Order office supplies, reconcile purchasing card expenses, and assist with onboarding requirements.
  • Coordinate letters of recommendation, process reimbursements, and maintain laboratory website updates.
  • Serve as a liaison between the Investigator and various administrative offices, ensuring seamless communication and support.
  • Handle phone calls, screen visitors, and provide exceptional customer service.
Requirements
  • Bachelor's degree or equivalent experience.
  • Minimum 5 years of high-level executive support experience.
  • Prior experience with sophisticated travel support is a strong plus.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to work independently, show initiative, and respond to inquiries.
  • Strong digital literacy, including proficiency with Microsoft Office applications.

Compensation and Benefits
