Position SummaryThe Safety Administrative Assistant plays a crucial role in supporting the Safety and Training department by managing administrative tasks and ensuring the smooth operation of safety initiatives. This position requires in-person attendance at our office.
Key Responsibilities- Provide comprehensive administrative assistance to the Safety and Training department, including calendar management, meeting coordination, and appointment scheduling.
- Assist in the development, distribution, and upkeep of safety training materials, manuals, and presentations.
- Maintain meticulous records of training sessions, certifications, and compliance documentation.
- Coordinate logistics for safety training events, ensuring all necessary resources are available.
- Support the formulation and execution of safety policies and procedures.
- Act as a liaison for employees regarding safety-related inquiries and issues.
- Assist the Safety Manager with incident investigations, including documentation of workplace incidents.
- Collaborate with other departments to enhance communication and coordination of safety initiatives.
- Help organize and execute safety drills and emergency preparedness exercises.
- Compile and analyze data related to safety performance and training effectiveness.
- Perform general office duties, including answering phones and managing departmental correspondence.
- Organize office documentation to improve efficiency.
- Take minutes during Safety Committee meetings.
- Manage inventories of Personal Protective Equipment, including tracking and distribution.
- Monitor and update Safety Scorecards, including OSHA and CalOSHA logs.
- Assist in the creation and dissemination of Safety Awareness materials.
- Support various projects and generate statistical reports as needed.
- Ensure all electronic safety training files are current and complete.
- Assist with quarterly safety raffles and related tracking.
- Handle ad-hoc projects and tasks as assigned.
- High school diploma required; Associate degree preferred.
- Minimum of 2 years' experience in administrative roles.
- Experience in a Safety and Training environment is highly desirable.
- Familiarity with the Construction Industry is a plus.
- Strong organizational and administrative skills are essential.
- Excellent written and verbal communication abilities.
- Reliable attendance and punctuality are expected.
- Proficiency in Microsoft Office Suite, including Excel and PowerPoint.
- Ability to adapt quickly and manage multiple tasks effectively.
- Occasional lifting of up to 20 lbs.
- Prolonged periods of sitting and working on a computer.
- Manual dexterity for keyboarding and repetitive tasks.
