Job Summary:

The Patient Service Representative plays a vital role in enhancing the patient experience at California Protons Cancer Therapy Center. This position interacts with patients, families, staff, visitors, and physicians to provide exceptional care and support. The ideal candidate will possess strong communication and customer service skills, with the ability to multitask and prioritize tasks effectively.

Key Responsibilities:

  • Greet patients and guests in a professional and caring manner, both in-person and over the phone.
  • Accurately register patients by gathering information and entering relevant data into the system.
  • Verify demographics and update necessary information in a timely and efficient manner.
  • Schedule and confirm appointments with patients over the phone, ensuring seamless communication and coordination.
  • Ensure that patients receive the necessary forms and provide assistance as needed.
  • Monitor patient flow in the lobby to prevent patients from leaving without completing their appointments.
  • Collaborate with nursing, imaging technicians, radiation therapists, and physicians to provide comprehensive care and support.
  • Manage multiple tasks simultaneously, including scanning forms, scheduling appointments, and answering phone calls.
  • Schedule follow-up appointments and diagnostic imaging procedures, such as CT, MRI, and PET scans.
  • Accurately register patients by gathering information and entering relevant data into the system over the phone.
  • Respond to calls, route messages, and inquiries appropriately, ensuring timely and effective communication.
  • Assist in gathering necessary reports, statistics, and outcomes for the department as needed.
  • Work collaboratively with a team to complete tasks and achieve departmental goals.
  • Upload CDs into MIM.

Requirements:

  • Proficiency in computer applications, including MS Office and internet research.
  • Strong organizational skills, with the ability to identify and solve problems effectively.
  • The ability to maintain HIPAA confidentiality at all times.
  • Reasoning ability to define problems, collect data, and establish facts.
  • Excellent communication and customer service skills, with the ability to de-escalate issues.
  • Ability to adapt, prioritize, and meet deadlines.
  • 3-5 years of customer service experience and skills.
  • Strong healthcare, call center, and patient advocacy experience.

Qualifications/Experience/Education:

  • Minimum one year of experience in a front office and/or business medical office position.
  • Radiation Oncology experience is a plus.
  • Ability to manage multiple priorities, patient expectations, and escalate issues to appropriate management.
  • Ability to juggle multiple requests and manage working with all departments and differing expectations of staff, physicians, and patients.
  • High School graduate or equivalent.
