Position Overview

This role involves coordination of the Massachusetts Undergraduate Research Conference (MassURC) and supporting student success initiatives under the guidance of the Associate Dean of Student Recruitment, Inclusion, and Success.

Key Responsibilities

Event Coordination
- Collaborate with numerous campus contacts and key stakeholders to streamline the abstract submission and evaluation process.
- Oversee the approval and scheduling of over 800 student presentations.
- Act as the production manager for events, coordinating with venue personnel, vendors, and audio-visual teams.
- Organize all logistical aspects of the conference, including venue and equipment arrangements.
- Manage all programming related to the conference, featuring student presentations and keynote speeches.
- Serve as the primary contact for speakers, addressing their requirements.
- Recruit, train, and supervise the undergraduate student Conference Assistant.
- Facilitate conference meetings and set agendas.
- Develop assessment tools to evaluate the effectiveness of MassURC.
- Recruit and collaborate with faculty and staff for conference support.

Communications
- Promote the conference in partnership with the Director of Communications.
- Create, draft, and distribute communications to all conference participants.
- Organize and coordinate workshops and webinars for presenters.

Database and Systems Management
- Ensure the smooth operation of online databases and email marketing platforms.
- Design and manage content for web and social media channels.
- Oversee the online application and abstract submission process.

Budget Management
- Prepare and monitor the conference budget.
- Negotiate contracts with event vendors.
- Collaborate with statewide stakeholders to secure sponsorships.

Student Success Support
- Assist in promoting diversity, equity, inclusion, and justice initiatives within the Honors College.
- Help coordinate the Thesis Experience program.
- Conduct research and analysis on student programming needs.
- Organize and maintain documentation for honors co-curricular programs.
- Provide administrative support to the student program unit.
- Assist in recruitment and informational sessions for prospective students.
- Foster and maintain partnerships across campus to enhance Honors Student Success.

Qualifications

Minimum Requirements
- High school diploma or equivalent.
- Two years of experience in event and conference management.
- Two years of office experience.
- Proficiency with computerized databases and web applications.
- Strong organizational skills and attention to detail.
- Excellent problem-solving and communication abilities.
- High level of independent judgment and initiative.
- Comprehensive knowledge of Microsoft Office and Adobe Acrobat Pro.
- Ability to work accurately with data and information.
- Capable of effectively engaging with a diverse population.

Preferred Qualifications
- Bachelor's Degree.
- Experience with email marketing systems and graphic design.

Work Schedule
- Standard hours with occasional evenings or weekends required.
