Position: Assistant Operations Manager

Department: Operations

Reports To: Operations Manager

Classification: Exempt

Supervises: Directly oversees 4 staff members and indirectly supervises an additional 4.

Role Overview:

The Assistant Operations Manager is responsible for overseeing and coordinating the daily functions of the credit union, ensuring that all operational, financial, and service objectives are met. This role acts as the primary support to the Operations Manager, possessing comprehensive knowledge of all operational tasks necessary for the credit union's success. Responsibilities include managing member service representative activities, lending processes, and various reporting and balancing duties. The position requires effective collaboration with accounting, IT, lending, and external vendors.

Key Responsibilities:

  1. Operational Management: Ensure adherence to policies and procedures, addressing any operational discrepancies. Manage assigned journal and ledger accounts, ensuring accuracy and compliance.
  2. Customer Engagement: Educate potential members about services, products, and loans to enhance business opportunities and foster positive relationships.
  3. Staff Development: Train new employees, create work schedules, and monitor performance. Oversee loan and overdraft collections and contribute to performance evaluations.
  4. Compliance Oversight: Review documentation prepared by staff to ensure compliance with internal policies and regulatory standards.
  5. Transaction Support: Assist staff in balancing daily transactions and evaluate loan applications when necessary.
  6. Customer Issue Resolution: Address and resolve account-related inquiries from members.
  7. Operational Evaluation: Assess credit union activities for compliance with established policies and recommend improvements to the Operations Manager.
  8. Additional Duties: Perform other job-related tasks as assigned.

Performance Metrics:

  1. Consistently monitor and manage assigned reports and accounts.
  2. Maintain a well-trained and motivated team to meet operational demands.
  3. Promote adherence to credit union policies among team members.
  4. Develop staff skills to identify opportunities for cross-selling products and services.
  5. Provide exceptional service and support to members and colleagues.
  6. Keep management informed of key operational issues.
  7. Conduct timely performance reviews and provide constructive feedback.

Qualifications:

Experience: A minimum of six months to two years in a similar role, with a solid understanding of credit union regulations and policies. Accounting or bookkeeping experience is essential.

Education: Candidates should possess either a two-year college degree, specialized certification, or relevant training.

Interpersonal Skills: The role requires strong communication skills, with a focus on conflict resolution and relationship building.

Technical Skills: Proficiency in operating standard office equipment and software is required, along with effective written and verbal communication skills.

Physical Requirements: Ability to sit or stand for extended periods and lift up to 25 pounds.

Work Environment: Primarily an office setting during standard business hours, with occasional evening or weekend commitments.
