Job Summary

We are seeking a highly organized and detail-oriented Office Manager with bookkeeping knowledge to join our team at Beautymark. As a key member of our operations team, you will be responsible for managing our office supplies, greeting guests, and handling various administrative tasks.

Key Responsibilities
  • Administrative Assistant to the CFO/COO: Provide support with various administrative tasks, including data entry, correspondence, and record-keeping.
  • Manage Mail: Open, review, and scan incoming mail into our digital systems.
  • Manage Office Supplies: Ensure that our office is well-stocked with necessary supplies and equipment.
  • Greet Guests: Welcome visitors and sign for daily deliveries.
  • Factor Credit Requests and Invoice Submissions: Process wholesale invoices and credit requests.
  • AP/AR Data Entry: Enter data into our Netsuite and Heartland software systems.
  • Correspondence with Customers and Vendors: Handle all AP/AR matters, including correspondence and communication.
  • Prepare Weekly Accounts Payable Payments: Ensure timely payment of invoices.
  • Bank, Intercompany, and Credit Card Reconciliations: Reconcile financial transactions and statements.
  • Prepare Weekly and Monthly Financial Reports: Provide accurate and timely financial reports.
Requirements
  • Minimum of 5 years of Accounting and ERP software experience.
  • Knowledge of retail/wholesale accounting.
  • Excellent computer skills, including MS Office, Google Drive, and email.
  • Excellent organization and communication skills.
  • Superb attention to detail and problem-solving abilities.
  • Ability to work independently and as part of a small team.
  • High school diploma; BS/BA in Accounting a plus.
