Position Summary

The Client Relations Specialist plays a crucial role in facilitating communication within our collision centers. This position is tasked with managing incoming calls, welcoming clients, and supporting the team with appointment scheduling and billing inquiries.


This is a full-time role operating within standard business hours, Monday through Friday. The Client Relations Specialist will report directly to the Collision Center Manager, with compensation based on experience.


Key Responsibilities

  • Manage incoming phone inquiries and ensure clients receive timely assistance or are directed to the appropriate personnel.
  • Schedule, confirm, and follow up on client appointments for estimates, drop-offs, and pickups.
  • Welcome clients upon arrival and gather necessary information.
  • Provide regular updates to clients regarding the status of their vehicles during the repair process.
  • Monitor and respond to incoming messages, ensuring proper assignment to team members.
  • Assist in preparing final invoices.
  • Oversee rental car bookings.
  • Coordinate repair schedules and manage workload distribution.
  • Communicate with insurance providers and fleet clients regarding payments and additional information requests.
  • Prepare documentation for vehicle returns to clients.
  • Assist in the final delivery of vehicles, explaining repairs and paperwork to clients.
  • Maintain a clean and organized reception area, including stocking supplies and marketing materials.
  • Order office supplies as necessary.
  • Perform other duties as assigned by supervisors.

Qualifications

  • High school diploma or equivalent.
  • Minimum of 3 years of experience in customer service, preferably over the phone.
  • Valid driver's license and ability to pass background and credit checks.
  • Proficient in computer applications, including Microsoft Office Suite.
  • Experience in the automotive service or body shop industry is preferred.
  • Familiarity with CCC One software is a plus.
