This is a vital role that requires exceptional administrative support to our team members. Key responsibilities include coordinating production and dissemination of materials, managing vendor invoices, and scheduling meetings and travel.

Key Responsibilities:

  • Prepare reports, collect and examine data, respond to inquiries, and schedule meetings and travel.
  • Coordinate the production and dissemination of materials, including presentations, course handouts, grant proposals, conference and seminar materials, complex reports, brochures, and displays.
  • Manage vendor invoices for accurate and timely billing.
  • Schedule, organize, and operate conferences, seminars, and events.
  • Take meeting minutes and disseminate to relevant parties.
  • Answer and screen phone calls, route calls as necessary, and record messages.
  • Greet visitors, guests, and employees, provide assistance, and refer to the appropriate party or department if needed.
  • Plan and schedule calendars, resolve calendaring conflicts, and arrange travel in compliance with organizational policies.
  • Monitor supply levels, order accordingly, receive, store, and distribute supplies.
  • Create and maintain confidential files in accordance with established policies and procedures.

Requirements:

  • Knowledge of office procedures.
  • Excellent customer service skills.
  • Able to maintain confidentiality.
  • Social skills to interact with a wide range of constituencies.
  • Skilled in document management, including sorting and filing techniques, and records retention.
  • Able to communicate thoughts clearly, both verbally and in writing.
  • Must be able to read, write, and follow instructions and flow chart protocols.
  • Able to work carefully, with a high attention to detail.
  • Advanced computer skills, including typing, information security, electronic medical documentation, handheld scanning, and email.
  • Proficient with MS Office suite, including Word, Excel, and PowerPoint.

Estimated Salary: $55,000 - $70,000 per year
