Executive Assistant to Top Producing Real Estate Broker

Seeking a dedicated and experienced executive assistant to support a top-producing Montana real estate broker. The ideal candidate will thrive in a fast-paced environment, manage multiple tasks effectively, and maintain unparalleled attention to detail. Key Responsibilities:
Administrative Support
Monitor and respond to messages promptly.
Maintain and organize the client database.
Manage scheduling and appointments.
Handle lead routing and management.
Buyer Support
Schedule property showings for clients as needed.
Conduct research on properties for buyers.
Prepare property books for buyer meetings.
Set up property searches based on buyer requests.
Listing Support
Research new listings, including utilities, well logs, and title documents.
Assist in generating necessary documents for new listings.
Send introductory letters for newly listed properties.
Coordinate photoshoots and create compelling listing descriptions.
Input new listings into MLS, ensuring all details and associated documents are accurate.
Organize sign installations for new listings.
Ensure listings are published on relevant third-party sites.
Conduct property showings as required (real estate license necessary).
Provide weekly updates and feedback on current listings.
Create marketing materials such as postcards and social media graphics for new listings, collaborating with the Buyer/Social Media Assistant.
Transaction Coordination
Oversee all transactions, ensuring accuracy from start to finish, including tracking relevant details.
Create and maintain organized transaction files.
Coordinate closing processes with title companies.
Order closing gifts for clients.
Remove signs and lockboxes post-closing.
Marketing Support
Collaborate with the marketing specialist to produce monthly email newsletters.
Upload property videos to YouTube.
Assist with social media marketing efforts.
Develop property marketing plans and manage listing placements in publications.
