Job Summary:

  • As a Medical Office Coordinator, you will perform secretarial/reception duties in support of general medical office activities to relieve medical professional personnel of clerical and administrative details and to maintain an efficient and effective operation.

Essential Responsibilities:

  • Set up electronic medical records (EMR) of new patient information, including personal contact information, insurance type, prior medical records, and miscellaneous information in an organized fashion.
  • Operate general office machines, including computers, copy machines, calculators, and fax equipment.
  • Answer telephone calls, screen calls, respond to routine questions, and take messages in accordance with physician's instructions.
  • Serve as receptionist for the health center, greeting patients in a professional and friendly manner, making appointments or proper referrals according to instructions and procedures.
  • Prepare documents and materials for referrals, labs, or x-ray facilities as requested.
  • Minimize patients' stress by anticipating their anxieties, answering questions, and maintaining a calm and orderly environment in the reception area.
  • Help patients in distress by responding to emergencies and solving problems accordingly.
  • Participate as an integral member of the patient-centered team with a nurse and physician, communicating with patients to schedule appointments and as a conduit for physicians and nurses with patients.
  • Make appropriate entries into the patient's electronic medical records.
  • Ensure contact, emergency, and insurance information is updated at every visit.
  • Protect patients' rights by maintaining confidentiality of medical, personal, and financial information.
  • Determine appropriate sliding fee scale classifications for patients and collect appropriate payments and co-payments from patients.
  • Determine insurance copays and collect appropriate funds, reconciling daily collections with the Office Coordinator.
  • Open and close the reception/waiting room area, ensuring it is clean and sanitized daily.
  • Contribute to team effort by accomplishing related results as needed.

Education and/or Experience:

  • A high school diploma or GED is required.
  • Two years of related medical clerical experience are preferred.
  • A completed medical secretarial program may be substituted for equivalent experience.
  • Computer proficiency with Outlook, Word, and Excel is required, with prior experience with EMR preferred.
