About the Role

We are seeking a highly organized and detail-oriented Administrative Coordinator to provide exceptional support to our Investigator and laboratory team. As a key member of our team, you will be responsible for managing complex scheduling, coordinating travel arrangements, and ensuring the smooth operation of the laboratory.

Key Responsibilities
  • Provide administrative support to the Investigator, including calendar management, correspondence, and document preparation
  • Coordinate domestic and international travel arrangements, including itineraries and expense reports
  • Manage laboratory meetings, seminars, and events, including logistics and catering
  • Assist with visa and academic appointment issues, as well as onboarding requirements for laboratory staff
  • Process and track reimbursements from multiple sources, including Investigator, laboratory members, and visiting scientists
  • Keep laboratory website up-to-date and serve as a liaison between the Investigator and administrative offices
  • Handle phone calls, screen visitors, and provide exceptional customer service
Requirements
  • Bachelor's degree or equivalent experience
  • Minimum 5 years of high-level executive support experience
  • Prior experience with sophisticated travel support a strong plus
  • Excellent written, verbal, and interpersonal communication skills
  • Ability to work independently, show initiative, and respond to inquiries
  • Customer service approach and dedication to HHMI's mission and laboratory goals
  • Strong digital literacy, including proficiency with Microsoft Office applications
Physical Requirements

Compensation and Benefits

HHMI offers a competitive salary range of $69,000 - $112,000, depending on experience. Our employees receive exceptional health benefits, retirement plans, time off, and a range of recognition and wellness programs.
