Position Summary:
The Office Operations Coordinator will oversee and manage the daily activities of our office. The primary responsibility is to ensure that the office operates smoothly and effectively, aligning with the company's objectives. This role necessitates onsite attendance during standard business hours.

Key Responsibilities:

1. Planning and Coordination:

  • Formulate and execute office policies, procedures, and workflows to enhance efficiency and productivity.
  • Oversee various administrative tasks including the management of office supplies, equipment, and maintenance services.
  • Organize and manage office space allocation to ensure optimal layout and resource utilization.
  • Collaborate with department heads and team leaders to identify needs and provide operational support.

2. Budgeting and Financial Management:

  • Develop and manage the office budget, ensuring cost-effectiveness and compliance with financial guidelines.
  • Monitor expenditures, review invoices, and negotiate contracts with vendors to secure competitive pricing and quality services.
  • Analyze financial reports and present recommendations to senior management for potential cost-saving measures.
  • Ensure adherence to financial policies and procedures.

3. Communication and Relationship Management:

  • Act as a liaison between management, employees, clients, and external stakeholders, ensuring effective communication and collaboration.
  • Facilitate meetings, prepare agendas, and distribute minutes to ensure timely communication of essential information.
  • Establish and maintain relationships with vendors, suppliers, and service providers to guarantee reliable support.

Qualifications:

  • 1-3 years of relevant work experience.
  • Professional demeanor with a strong customer service focus.
  • Ability to work onsite during standard business hours to support administrative functions.

  • Proficient in Microsoft Office Suite.
