Job Overview

Position: Administrative Assistant

The Village Market is a community-focused organization seeking a dedicated full-time Administrative Assistant to enhance our operational efficiency. The successful candidate will play a crucial role in facilitating the daily administrative functions of our organization. We are looking for a proactive individual with exceptional organizational capabilities, a collaborative spirit, meticulous attention to detail, and strong communication skills, both written and verbal.

Key Responsibilities:

  • Manage incoming communications - Respond to general inquiries and direct them to the appropriate internal teams as necessary.
  • Schedule coordination - Organize meetings based on the availability of both internal and external participants.
  • Resource organization - Develop and maintain systems to ensure files are orderly and readily accessible.
  • Support the program manager - Assist with updates and overviews of programming and meeting calendars, as well as disseminating communications to the team as required.
  • Event planning assistance - Collaborate with the program manager and community development officer to support event planning and execution.
  • Vendor relationship management - Handle vendor interactions, including the request and receipt of invoices for payment.

Qualifications:

  • Preferred educational background: Associate Degree, Undergraduate Degree, or Graduate Degree.
  • Must reside within the metro area.
  • Availability to be on-site as required for various events.
  • Experience in event management is a plus.
  • Access to a computer with high-speed internet.
  • A minimum of 3 years of experience in an administrative support role.
  • Strong organizational, communication, and time-management skills.
  • Demonstrated ability to thrive in a fast-paced environment.
  • Exhibit a positive and energetic demeanor.
  • Resourcefulness, creativity, and adept problem-solving abilities.
  • Capability to comprehend and follow both oral and written instructions.
  • Proficiency in Microsoft Office Suite, Google Email, Asana, and Calendly.
  • Detail-oriented with the ability to manage multiple priorities.
  • Team-oriented with strong organizational skills.

Work Schedule: Full-Time, 40 hours per week (may include evenings and weekends).

Work Arrangement: Hybrid model with in-office presence required two days a week.

Compensation: Salary range of $50,000 - $53,000 annually.
