Position Overview

Financial Services Operations Representative I, II, and III (GIDS Core Processing)

Remote Work Locations: This position is available for candidates in various states.

Work Schedule: Our operational hours are Monday through Saturday, from 8 AM to 8 PM EST. To accommodate Saturday shifts, additional time off will be provided during the week. Candidates should expect to work an 8-hour shift within these hours.

Training: The initial training period will last 4-6 weeks, conducted Monday to Friday from 8 AM to 5 PM EST (7 AM to 4 PM CST), with mandatory attendance to ensure comprehensive support and education for your new role.

Role Responsibilities

  • Deliver transaction-processing services with a customer-focused approach for our Mutual Fund clients.
  • Collaborate within a team to provide proactive and innovative solutions, maintaining a high level of detail and accuracy.
  • Engage with account holders to research and resolve outstanding issues.
  • Perform daily account activities to ensure exceptional service by processing financial service requests efficiently and accurately.
  • Execute service requests, including purchases, redemptions, transfers, exchanges, account maintenance, and new account setups after completing formal training.
  • Meet and exceed quality and productivity goals, fostering a quality mindset in all tasks.
  • Review transactions for quality assurance, ensuring accuracy and escalating concerns for improvement.
  • Communicate effectively with advisors, shareholders, and clients to resolve complex issues or clarify requests.
  • Utilize resources to stay informed about relevant account and industry trends.
  • Participate in special projects as assigned.
  • For Reps II and III, review and ensure the accuracy of work, provide coaching, and recommend procedural changes.

Qualifications

  • Strong critical thinking skills with the ability to analyze information from multiple sources for informed decision-making.
  • Service-oriented skill set with a keen attention to detail and accuracy.
  • Proven ability to meet deadlines and adapt to change.
  • Excellent written and verbal communication skills.
  • Demonstrated computer proficiency, capable of navigating multiple programs simultaneously.
  • Self-motivated with the ability to collaborate effectively in a virtual environment.
  • High School Diploma or equivalent with at least 1 year of relevant work experience; preference for candidates with prior financial services experience, particularly in operations transaction processing or phone-related roles.
  • 1-2 years of business experience in customer support, customer service, or transfer agency roles required for Reps II and III.
