Key Responsibilities:

  • Personal Support:
    • Manage and coordinate personal appointments, schedules, and travel for the executives and their families
    • Coordinate personal errands, including shopping and household management
    • Assist with personal meeting and event planning
    • Coordinate household services, including vendor management and property maintenance
    • Assist with personal bookkeeping and financial document management
  • Executive Support:
    • Coordinate executive schedules, including appointments, travel, and meetings
    • Prepare and edit documents and presentations for executive communication
    • Act as a liaison between the executives and their clients, investors, and stakeholders
    • Manage incoming and outgoing communication for the executives
    • Process expenses, invoices, and financial documentation
    • Assist with special projects, including research and event planning
  • Requirements:
    • Minimum 5-7 years' experience in a personal support role, combining EA and PA duties, in a private wealth setting
    • Minimum five years' experience coordinating domestic and international travel for executives and their families
    • Excellent time management and organizational skills
    • Extreme discretion and confidentiality
    • Strong written and verbal communication skills
    • Proactive and anticipatory work style
    • Ability to work independently with excellent problem-solving skills and independent judgment
    • Flexibility to work outside regular business hours as required
    • High level of proficiency in the MS Office Suite
    • Experience working in a MAC environment
