Position Summary

We are in search of a dependable and enthusiastic Front Office Coordinator. This role is essential in providing comprehensive front office support to both patients and clinicians. The responsibilities include managing patient interactions, overseeing check-in/check-out processes, and addressing inquiries related to insurance coverage and benefits.

Key Responsibilities
  • Welcome and assist patients during check-in/out, ensuring all necessary documentation is completed and co-payments are collected.
  • Distribute initial assessment forms to patients, review for completion, and integrate electronic submissions into the EHR system.
  • Handle incoming calls, providing assistance with various patient inquiries, including payment questions and release requests.
  • Maintain accurate patient account information, ensuring correct billing addresses and payment authorizations.
  • Support patients in scheduling and rescheduling appointments, ensuring accuracy for both telehealth and in-person visits.
  • Assist patients with accessing the Patient Portal and navigating our website.
  • Manage emails and patient messages through the Patient Portal and voicemails.
  • Conduct daily audits of the appointment schedule for accuracy.
  • Ensure the office environment is tidy and organized.
  • Perform general office tasks, including sorting mail and scanning documents.
  • Provide backup support to the Office Lead for pre-appointment tasks.
  • Complete other duties as assigned by the Office Lead.
Qualifications

The ideal candidate will possess:

  • A High School Diploma or equivalent; an Associate's degree is preferred.
  • A minimum of 2 years of experience in customer service, with a preference for healthcare experience.
  • Familiarity with OSHA and HIPAA regulations is advantageous.
  • Strong multitasking abilities.
  • The capability to work both independently and collaboratively.
  • Excellent written and verbal communication skills.
  • Legal authorization to work in the United States.
