Position Overview:

We are in search of a detail-oriented and proactive International Operations Support Specialist to assist the executive leadership team, particularly the President/General Manager of International Programs. The ideal candidate will possess a minimum of 5 years of experience in business operations, program support, and managing international clientele, alongside skills in tradeshow support and competitive proposal development.

This position is remote; candidates must be located in the Dallas/Fort Worth area for occasional in-person meetings.

Key Responsibilities:

Administrative Support:

  • Act as the primary liaison for the President of International Programs, managing communications including calls and emails.
  • Assist executive leaders with scheduling, meeting coordination, and travel logistics.
  • Organize meeting logistics, prepare necessary materials, and ensure follow-up actions are executed.
  • Support the preparation of proposals and manage communications with international stakeholders.
  • Conduct research, compile reports, and develop presentations.
  • Collaborate with internal teams and external partners, attend meetings, document minutes, and track action items.
  • Oversee expense management and maintain precise financial records.

PowerPoint Presentation Development:

  • Design and deliver high-quality PowerPoint presentations for both internal and external audiences.
  • Ensure presentations are visually engaging, clear, and effectively convey key messages.

Professional Correspondence:

  • Draft, edit, and proofread various business communications.
  • Maintain a high standard of written communication, ensuring clarity and precision.

Contractor Oversight:

  • Manage relationships with contractors, ensuring timely and budget-compliant project completion.
  • Monitor contractor performance and address any issues as they arise.

International Contract Review:

  • Analyze and interpret international contracts, ensuring accurate communication of terms.
  • Work closely with legal and compliance teams to ensure regulatory adherence.

Proposal Development:

  • Assist in crafting comprehensive proposals that align with client needs and company goals.
  • Collect necessary data and insights from cross-functional teams to support proposal development.

Qualifications:

  • Bachelor's degree in business administration, management, or a related discipline.
  • A minimum of 5 years of relevant experience is required.
  • Extensive experience in international proposal development.
  • Strong organizational, analytical, and problem-solving capabilities.
  • Exceptional attention to detail and multitasking abilities.
  • Ability to work independently while managing competing priorities.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Discretion in handling confidential information.
  • Experience with Middle Eastern customers is advantageous.
  • Willingness to work flexible hours, including occasional evenings and weekends.
  • Ability to travel up to 25% of the time.
