About the Role

We are seeking a highly skilled and experienced Senior Administrative Assistant to join our team in the Cardiovascular Medicine department at Mass General Brigham. As a key member of our administrative team, you will provide critical support to our General Cardiology division, ensuring the smooth operation of our clinical, research, and educational programs.

Key Responsibilities
  • Schedule conferences, meetings, and appointments, and coordinate national and international travel for our physicians and staff.
  • Prepare meeting agendas and distribute them to meeting participants, ensuring timely and effective communication.
  • Maintain an up-to-date schedule of clinical commitments assigned to our EP Faculty, and coordinate with them to ensure seamless execution.
  • Manage the clinical and academic calendar, alerting clinicians to unresolved problems, appointment conflicts, or potential controversial issues.
  • Control and adjust schedules according to physician requests and service needs, ensuring optimal resource allocation.
  • Assist physicians with administrative tasks, such as routing reports, drafting letters, and arranging calls with patients or referring physicians.
  • Act as a liaison to referring physicians, research personnel, vendor representatives, and clinical staff, providing exceptional customer service and support.
  • Update Epic and fax prescription refill requests, and obtain prior authorizations from insurance companies as needed.
  • Update and maintain Curricula Vitae (CVs) in real-time, and assist in promotion and administrative tasks involved in professional development of physicians.
  • Coordinate educational events, talks, and outreach activities, and draft and edit internal and external communications and marketing materials.
  • Manage the large clinical portfolio of our physicians and non-physician providers, ensuring timely and accurate reimbursement for professional, educational, and research expenses.
  • Develop and maintain physician and patient educational materials, including access to recorded lectures and asynchronous virtual visits.
  • Assemble data for support of new clinical initiatives, and assist in drafting project proposals.
  • Coordinate patient appointments and oversee the clinic patient schedule, working with clinic staff to ensure appropriate testing has been completed.
  • Work with call center and patient coordinators to ensure proper scheduling of patients, including collection of pertinent medical records.
  • Types and proofs final drafts of all correspondence, scientific manuscripts, and grants, and assists with journal-specific formatting.
  • Enter pertinent patient information into Epic, monitor report progress, and route to appropriate physicians and departments.
  • Monitor assigned clinical reports, ensuring physician adherence to timely signing of monitors, procedure reports, clinic notes, and Epic in Basket requests.
  • Manage academic portfolio of Faculty members, including grant applications, abstract or manuscript uploading and revisions, and filing of progress reports.
Requirements
  • High school diploma or GED required; post-high school education preferred.
  • Experience working in a healthcare office setting or secretarial experience preferred.
  • Outstanding computer and technical skills.
