About the Role

We are seeking a highly skilled and organized Senior Administrative Assistant to provide exceptional support to our General Cardiology team within Cardiovascular Medicine. As a key member of our team, you will be responsible for managing a broad range of administrative tasks, including scheduling, travel coordination, and correspondence.

Key Responsibilities
  • Schedule conferences, meetings, and appointments, and coordinate national and international travel
  • Prepare meeting agendas and distribute to meeting participants
  • Maintain an up-to-date schedule of clinical commitments assigned to the EP Faculty
  • Manage the clinical and academic calendar, ensuring timely reminders and notifications
  • Assist physicians with administrative tasks, such as routing reports, drafting letters, and arranging calls with patients or referring physicians
  • Act as a liaison to referring physicians, research personnel, vendor representatives, and clinical staff
  • Update Epic and fax prescription refill requests, and obtain prior authorizations from insurance companies as needed
  • Update and maintain Curricula Vitae (CVs) in real-time, and assist with promotion and administrative tasks involved in professional development of physicians
  • Coordinate educational events, talks, and outreach activities
  • Draft and edit internal and external communications, and marketing materials related to clinic operations
  • Manage the clinical portfolio of physicians and non-physician providers, and develop and maintain educational materials
  • Assemble data for support of new clinical initiatives, and assist in drafting project proposals
  • Coordinate patient appointments, and oversee the clinic patient schedule
  • Work with clinic staff to schedule consults, and ensure appropriate testing has been completed
  • Enter pertinent patient information into Epic, and monitor report progress and routing
  • Monitor assigned clinical reports, and ensure physician adherence to timely signing
  • Manage academic portfolios, grants, and funding sources
  • Provide exceptional customer service, and interact with faculty, fellows, laboratory staff, administrative staff, patients, and the general public
Requirements
  • High school diploma or GED required; post-high school education preferred
  • Experience working in a healthcare office setting or secretarial experience preferred
  • Outstanding computer and technical skills
