Job Summary

We are seeking an experienced Office Administrator to join our team at SourcePro Search, LLC. The ideal candidate will be responsible for the overall operations of the office, including financial planning and controls, billing and collections, personnel administration, office morale, systems and physical facilities.

Key Responsibilities
  • Human Resources:
    • Recruit, onboard, train, and develop legal and support staff
    • Manage employee relations, motivation, disciplining, discharging, benefits administration, workers' compensation, and personnel data systems
    • Design jobs, allocate resources, and oversee human resource management functions
  • Financial Management:
    • Prepare annual budgets, analyze variances, and monitor expenses and revenues
    • Approve invoices for submission to the National Finance Department
    • Oversee billing and collections
  • Systems Management:
    • Work with IT staff to ensure technology needs are met
    • Coordinate IT training and skills maintenance for staff
    • Monitor equipment usage and implement national technology standards
  • Facilities Management:
    • Manage physical space, including space planning, office relocation, lease negotiation, mail, reprographics, reception, and food services
    • Act as liaison with landlord and contractors
    • Analyze bids and negotiate with vendors
  • Strategic Leadership:
    • Provide overall strategic and tactical leadership to ensure seamless client service and responsive support
    • Develop and deploy effective solutions to address current and anticipated needs
    • Provide business management insight and operational advice and expertise
Requirements
  • Graduation from a recognized college or university with major coursework in business administration, management, finance, human resources, technology, or marketing
  • Supervisory experience and experience in a law firm, corporate legal department, or comparable service industry
  • Knowledge of legal or other professional service organizations and experience managing business operations
  • Ability to identify and analyze complex issues and problems, recommend and implement solutions, and manage office functions professionally, economically, and efficiently
  • Familiarity with computer networks, personal computer applications, and computerized support tools
  • Strong leadership skills, organizational and time management skills, and excellent written and oral communication skills
