Office Administration Specialist

We are currently seeking a detail-oriented and proficient Administrative Assistant to enhance the operational efficiency of our office. The successful candidate will possess 5-10 years of relevant experience, ideally within the architecture, engineering, and construction (A/E/C) sectors. This position is crucial for ensuring seamless administrative functions within our Construction Management and Inspection Division.
Key Responsibilities:
- Office Management: Facilitate the daily operations of the office, providing support to a diverse team of over 30 personnel.
- Billing and Invoicing: Generate and submit client invoices, collaborating with Project Accountants to guarantee timely and precise monthly billing processes.
- Financial Support: Assist in the coding of expenses, including credit card transactions and other costs, ensuring compliance with documentation standards.
- Support for Construction Management: Offer administrative assistance to both field and office staff, including travel arrangements and supply management.
Qualifications:
- Experience: A minimum of 5-10 years in an administrative role, preferably within the A/E/C industry.
- Education: High school diploma or equivalent required; an Associate's or Bachelor's degree is preferred.
- Technical Proficiency: Strong command of Microsoft Office Suite, particularly Excel, along with familiarity with accounting software or ERP systems.
- Communication Skills: Excellent written and verbal communication abilities, capable of engaging professionally with clients and colleagues.
- Organizational Skills: Outstanding organizational and multitasking skills, with a strong attention to detail.
- Problem-Solving Skills: Ability to foresee needs, resolve issues independently, and manage competing priorities effectively.
