About the Role

We are seeking a skilled Administrative Assistant to provide exceptional support to our office at Seacoast 5151 Condominium Association. This is a full-time opportunity that requires a strong organizational foundation and excellent communication skills.

Compensation

The estimated annual salary for this role is $50,000 - $65,000, commensurate with experience. We also offer a comprehensive benefits package, including medical, dental, and vision insurance, as well as a 401(k) matching program.

Responsibilities

The successful candidate will perform the following tasks:

  1. Provide bilingual support to residents and staff, when possible.
  2. Promote exceptional customer service standards.
  3. Respond promptly to phone calls and emails.
  4. Ensure the office and common areas are clean and well-maintained.
  5. Offer timely and effective assistance to residents and staff.
  6. Process payments and maintain accurate records.
  7. Communicate with residents via email, as needed.
  8. Collaborate with the Manager to resolve account issues.
  9. Manage and pay invoices in a timely manner.
  10. Coordinate schedules and arrange meetings.
  11. SOURCE and purchase necessary office supplies.
  12. Schedule maintenance and repairs for office equipment.
  13. Keep resident information up-to-date and accurate.
  14. Create and distribute work orders efficiently.
  15. Manage access control and distribution of keys and tags.
  16. Add and update resident contact information.
  17. Demonstrate a commitment to continuous learning and improvement.

Requirements include:

  • 2-5+ years of experience as an administrative assistant.
  • Highly organized, detail-oriented and able to multi-task.
  • Excellent verbal, written and interpersonal skills.
  • Working knowledge of Microsoft Suite (Outlook, Word, Excel, PowerPoint, etc.).
  • Ability to work independently and as part of a team.
