Job Overview

The Project Coordination Specialist will serve as the primary point of contact between designated brands and various internal teams for the introduction of new products. This role involves collaboration with Business Development, Research & Development, Quality Assurance, Regulatory Affairs, and Operations management to ensure alignment of priorities and commitments to both internal and external customers.

Key Responsibilities:

Oversee the project tracker to ensure accuracy and timely communication of any changes to external customer commitments. Build and nurture customer relationships to guarantee timely product launches and high levels of customer satisfaction.

  • Manage designated projects/accounts – Develop, publish, and implement project timelines.
  • Provide pricing information to customers for additional services offered.
  • Issue Product Development Requests (PDR) as necessary, detailing cost of goods targets, benchmarks, and restrictions.
  • Ensure timely delivery of samples, supporting documentation, pricing, and lead times for all new initiatives.
  • Share finalized pricing with the Bill of Materials/Purchase Order Coordinator.
  • Initiate pricing requests, review quotes, and communicate them to customers.
  • Maintain project status in the Project Tracker file.
  • Organize and co-facilitate Gate-Review meetings for all new products alongside the Project Management Manager.
  • Transfer all project details to the operations team for Line Trials; participate in line trials as necessary and provide customer-related support.
  • Manage regulatory requests for assigned customers during product launches.
  • Send annual stability letters to assigned customers.
  • Oversee all formula-related updates (reformulations, raw material discontinuations, etc.) and perform other duties as assigned by the manager.
  • Schedule weekly or bi-weekly calls with clients, maintain a calendar, and keep meeting notes for public access.
  • Ensure monthly sales targets are achieved and report any shortfalls for all accounts.
  • Notify business development when client presentations are needed or new opportunities arise.
  • Facilitate the transition of projects to the customer service department and maintain support during the handoff to ensure successful launches.
  • Assist in resolving customer complaints by investigating issues, notifying management, and making recommendations. Ensure communications are aligned with the organization's goals and objectives.
  • Exhibit strong interpersonal skills and maintain a positive attitude.
  • Represent the company at meetings and trade shows as required.

Qualifications:

  • Bachelor's degree in Cosmetic Science, Business, Chemistry, or a related field, with a minimum of 2 years of experience in a fast-paced manufacturing environment or 3+ years of experience as a Project Manager managing multiple customers/projects simultaneously.
  • Detail-oriented with exceptional organizational and communication skills.
  • Strong analytical and problem-solving abilities.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
  • Able to handle multiple assignments concurrently.
