Job Overview

The Project Coordinator will serve as the primary contact between designated brands and various internal teams for the initiation of new products. Collaborate with Business Development, Research & Development, Quality Assurance, Regulatory Affairs, and Operations management to synchronize priorities and commitments to both internal and external stakeholders.

Key Responsibilities:

Oversee the project tracking system for precision and ensure that commitments to external clients are met on schedule, or that any changes are effectively communicated. Build and nurture client relationships to guarantee timely product launches and overall customer satisfaction.

  • Oversee assigned projects/accounts – Create, publish, and implement project timelines.
  • Provide pricing information to clients for additional services rendered.
  • Issue Product Development Requests (PDR) as necessary, detailing Cost of Goods (COG) targets, benchmarks, and restrictions.
  • Ensure timely delivery of samples, supporting documentation, pricing, and lead times for all new initiatives.
  • Share finalized pricing with the Bill of Materials/Purchase Order Coordinator.
  • Initiate pricing inquiries. Review price quotes and relay them to clients.
  • Maintain project status in the Project Tracker file.
  • Schedule and co-facilitate Gate-Review meetings for all new products alongside the Project Management Manager.
  • Transfer all project details to the operations team for Line Trials; participate in line trials as necessary and provide customer-related support.
  • Manage regulatory requests for assigned clients for product launches.
  • Distribute Annual Drug Stability letters to designated clients.
  • Oversee all formula-related updates (reformulations, raw material discontinuations, etc.) and perform other duties as assigned by the manager.
  • Organize weekly/bi-weekly calls with clients, maintain the calendar, and keep meeting notes for documentation.
  • Ensure monthly sales targets are achieved, reporting any shortfalls for all accounts.
  • Notify business development when client presentations are required or new opportunities arise.
  • Facilitate the transition of projects to the customer service department, ensuring ongoing support for a successful launch.
  • Assist in resolving client complaints by investigating issues, notifying management, and making recommendations. Ensure that communications are aligned with the organization's goals and objectives.
  • Exhibit strong interpersonal skills and maintain a positive demeanor.
  • Represent the organization at meetings and trade shows as required.

Qualifications:

  • Bachelor's degree in Cosmetic Science, Business, Chemistry, or a related field, with a minimum of 2 years of experience in a fast-paced manufacturing environment, or 3+ years of experience as a Project Manager managing multiple clients/projects concurrently.
  • Detail-oriented with exceptional organizational and communication skills.
  • Strong analytical and problem-solving abilities.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
  • Able to manage multiple projects simultaneously.
