About the Role

We are looking for a highly motivated and organized individual to fill the position of Senior Administrative Associate. The successful candidate will be responsible for providing administrative support to executives, ensuring their calendars are up-to-date and accurate at all times.

Responsibilities
  • Provide administrative support to executives, including calendar management, travel arrangements, and correspondence preparation
  • Manage the flow of calls, visits, and meetings with senior vice presidents, directing others to the most appropriate contact if executive involvement is not required
  • Create correspondence, format presentations, and provide guidance to others on communication for executives
  • Proactively prepare information for various meetings and purposes based on understanding of executive priorities and needs
  • Arrange senior vice president's travel needs and create a pleasant experience
  • Interact with clients, vendors, and visitors while maintaining confidentiality in all aspects of interaction and information
  • Assist in special events, make personal appointments, and take care of related tasks that free up executive time for important business needs
  • Prepare expense reports, manage calendar, manage all travel, coordinate private dining reservations, and type all correspondence including presentations
  • Maintain organization and flexibility of office, with ability to adjust to changing deadlines

Requirements: High school diploma required; additional training or courses in business are helpful. At least 5 years of specific experience in providing administrative assistance at the department leader level is required, with experience at the executive level highly preferred.

Technical Skills: Intermediate knowledge and abilities with Microsoft Office suite, and experience in phone system functionality to manage complex calling needs.
