Job Overview

The Facilities Operations Specialist is responsible for ensuring the optimal functioning and maintenance of the facility.

KEY RESPONSIBILITIES:

  • Oversee and coordinate routine maintenance activities to maintain the facility's condition.
  • Plan and manage preventive maintenance schedules for essential building systems, including HVAC, electrical, and plumbing.
  • Address and resolve maintenance requests promptly and efficiently.
  • Collaborate with external service providers for repairs and maintenance tasks.
  • Review and assess bids for contracted services to ensure quality and cost-effectiveness.
  • Ensure compliance with health, safety, and environmental regulations.
  • Conduct regular safety audits and inspections to identify and mitigate potential hazards.
  • Work with management to implement safety protocols and maintain a secure working environment.
  • Assist in the planning and execution of office relocations, renovations, and space reconfigurations.
  • Manage the inventory of maintenance supplies, tools, and equipment.
  • Advise management on necessary supplies and materials.
  • Maintain accurate records of inventory levels and usage to anticipate future supply needs.
  • Act as the primary contact for facility-related inquiries and issues.
  • Communicate effectively with management regarding facility operations.
  • Coordinate with various departments to support organizational events and activities.
  • Ensure projects are completed on schedule, within budget, and meet quality standards.
  • Keep detailed records of maintenance activities, repairs, and inspections.
  • Prepare regular reports on facility operations, maintenance status, and project updates.
  • Oversee inventory management for material handling equipment and validate inspection schedules.
  • Ensure all emergency systems are operational and undergo regular testing.
  • Promote sustainable practices to minimize the facility's environmental footprint.
  • Identify opportunities for energy efficiency, waste reduction, and resource optimization.
  • Monitor and evaluate the effectiveness of sustainability initiatives.
  • Perform other related duties as assigned.

REQUIRED SKILLS AND QUALIFICATIONS:

  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Knowledge of facility management principles.
  • Ability to manage budgets and negotiate with vendors.
  • Problem-solving skills with a keen attention to detail.
  • Familiarity with safety regulations and compliance standards.
  • Ability to work collaboratively in a team environment.
  • Proficient in computer applications, particularly Microsoft Office.

EDUCATION AND EXPERIENCE:

A high school diploma or equivalent; a minimum of three years of relevant experience in logistics or a related field.

CERTIFICATIONS:

  • Forklift certification or the ability to obtain one.
  • Valid driver's license or equivalent.

LANGUAGE SKILLS:

Ability to read and interpret various documents, including protocols and standard operating procedures.

REASONING ABILITY:

Ability to apply common sense to follow instructions provided in written, oral, or diagram form.

PHYSICAL DEMANDS:

The physical requirements of this position may include sitting or standing as needed, with occasional walking on level surfaces throughout the day.

WORK ENVIRONMENT:

This role may involve exposure to warehouse areas where personal protective equipment is required.
