Position Overview

The Leave Management Specialist will oversee the administration of leave of absence requests for nonunion personnel, ensuring compliance with FMLA eligibility through third-party assessments. This role will involve responding to escalated inquiries and data requests, as well as generating reports and updates on the status of employee leave requests for relevant contacts. Additionally, the specialist will reconcile any benefit deductions for employees on leave and coordinate leave payments with payroll. This position acts as a liaison among employees, vendors, and management to facilitate the management of work restrictions and accommodations.

Compensation: This role offers an hourly wage ranging from $29.81 to $36.06.

Key Responsibilities
  • Oversee and track the leave of absence process for non-union employees, including various types of leaves.
  • Collaborate with employee management, Benefits, and Payroll departments as necessary.
  • Process benefit payments coordinated by external administrators and ensure accurate leave payments in line with state entitlements.
  • Work with management to assess and accommodate employee work restrictions based on job descriptions.
  • Serve as the primary contact for employee inquiries regarding leave of absences and engage in the interactive process when required.
  • Document and update internal workflows as necessary.
  • Analyze leave activity for discrepancies and recommend corrective measures to Benefits Management.
  • Assist with documentation requests from the Legal Department as needed.
  • Handle employment verification and benefits coordination requests for employees on leave.
  • Educate location managers on leave processes and provide necessary documentation to support employment actions.
  • Proactively manage HR systems to ensure data accuracy and integrity, utilizing ADP for reporting and process streamlining.
  • Provide backup support for the HR team and other areas as required.
  • Perform additional duties as assigned.
Qualifications
  • At least 1 year of experience in Human Resources or a related field.
  • Minimum 1 year of experience with state and federal FMLA regulations, ADA, and Workers' Compensation.
  • Experience in developing process documentation and updating Standard Operating Procedures.
  • Minimum 1 year of experience in medical disability management and working with third-party leave management.
  • Professional demeanor with the ability to handle sensitive and confidential matters judiciously.
  • Proven ability to drive HR processes and deliver high-quality HR services.
  • Experience in both non-union and union environments, preferably in retail or hospitality sectors.
  • Adaptability and flexibility in a dynamic work environment.
  • Strong prioritization skills, independent thinking, and problem-solving abilities to ensure timely project completion.
  • Ability to collaborate effectively across the organization to achieve objectives.
  • Excellent organizational skills, attention to detail, and capability to manage multiple tasks simultaneously.
  • Strong verbal and written communication skills.
  • Experience with ADP or HRIS systems is preferred.
  • Proficient in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word).
  • Able to multitask and manage various projects efficiently.
