Position Overview:

The Benefits Coordinator - Leave of Absence is tasked with overseeing the management of leave requests for nonunion personnel. This role includes monitoring third-party assessments of FMLA eligibility, addressing escalated inquiries, and providing updates and reports on the status of leave requests to relevant contacts. Additionally, the coordinator will reconcile benefit deductions for employees on leave and collaborate with payroll to ensure accurate leave compensation. Acting as a liaison among employees, vendors, and management, this position will facilitate the coordination of work restrictions and accommodations for employees.

Compensation: This role offers an hourly wage ranging from $29.81 to $36.06.

Employee Benefits: Full-time employees are eligible for comprehensive benefits including health, dental, and vision insurance, a 401(k) savings plan with matching contributions, and paid time off encompassing vacation days, sick leave, and recognized holidays.

Key Responsibilities:

  • Oversee and manage the leave of absence process for non-union employees, including various types of leave.
  • Collaborate with employee management, Benefits, and Payroll departments as necessary.
  • Process benefit payments calculated by external administrators and coordinate leave payments with state entitlements.
  • Work with location management to assess the feasibility of accommodating employee work restrictions.
  • Serve as the primary contact for employee inquiries regarding leave of absences and engage in the interactive process when required.
  • Document and update internal workflow processes as needed.
  • Analyze leave activity for discrepancies and recommend corrective measures to Benefits Management.
  • Assist with documentation requests from the Legal Department as necessary.
  • Handle employment verification and benefits coordination requests for employees on leave.
  • Educate location managers on leave processes and provide necessary documentation to support employment actions.
  • Proactively manage HR systems to ensure data accuracy and integrity, utilizing ADP for reporting and process streamlining.
  • Provide backup support for the HR team and assist in other areas as required.
  • Perform additional duties as assigned.

Qualifications:

  • At least 1 year of experience in Human Resources or a related field.
  • Familiarity with state and federal FMLA regulations, ADA, and Workers' Compensation.
  • Experience in developing process documentation and updating Standard Operating Procedures.
  • Minimum of 1 year of experience in medical disability management and working with third-party leave management.
  • Professional demeanor with the ability to handle sensitive and confidential matters judiciously.
  • Proven ability to drive HR processes and deliver high-quality HR services.
  • Experience in both non-union and union environments, preferably in retail or hospitality sectors.
  • Ability to adapt in a fast-paced, dynamic environment.
  • Strong prioritization skills and problem-solving capabilities to ensure timely project completion.
  • Collaborative mindset with the ability to work effectively across the organization.
  • Excellent organizational skills, attention to detail, and capability to manage multiple tasks.
  • Strong verbal and written communication skills.
  • Experience with ADP or HRIS systems is preferred.
  • Proficient in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word).
  • Able to multitask and manage various projects efficiently.
