Job Title: Front Desk Representative

At Florida Orthopaedic Institute, we are seeking a highly skilled and experienced Front Desk Representative to join our team. As a Front Desk Representative, you will play a vital role in providing exceptional patient care and ensuring a smooth and efficient experience for our patients.

Key Responsibilities:
  • Provide leadership and guidance to the front desk team, ensuring they are accessible and providing excellent customer service.
  • Conduct daily huddles with the team to review daily clinics and motivate them to provide a positive work environment.
  • Create a positive work environment by motivating others and encouraging positive thinking and teamwork.
  • Oversee front desk representatives to ensure efficient patient flow at check-in and check-out.
  • Assist with any questions or concerns while providing excellent customer service to patients.
  • Monitor the zone to ensure FOI customer service standards are met and that the clinic is flowing smoothly.
  • Ensure that the front desk and clinic staff are working together to communicate delays at check-in and wait times throughout the patient visit.
  • Ensure water and snacks are provided to patients during extended wait times.
  • Monitor the zone to ensure that OSHA and HIPAA standards are being followed.
  • Ensure all paperwork is printed and prepared for each day's clinic.
  • Assist the Clinic Supervisor in running Care Credits for staff in their assigned zone.
  • Communicate with Benefits and Auth Teams as a problem solver for questions and/or issues arising with their daily work.
  • Communicate any problems, issues, or concerns with the department to the Clinic Supervisor.
  • Ensure there is adequate staffing to handle patient flow at the front desk and to ensure there is adequate coverage during high patient volume, employee absences, and lunch breaks.
  • Distribute work among staff members and ensure it is complete.
  • Assist the Clinic Supervisor and Manager with staff meetings.
  • Attend in-services and update staff accordingly.
  • Handle patient complaints and issues as they arise to ensure patient satisfaction and notify the Clinic Supervisor when necessary.
  • Assist with clinic batch.
  • Assist the Clinic Supervisor and Manager in working the documents in the Athena Clinical inbox for their location.
  • Act as a backup to the Dispensary.
  • Mentor new trainees.
  • Cover Urgent Care Front Desk as needed (South Tampa and Brandon).
  • Assist the Clinic Supervisor in ordering office supplies and ensuring all forms and supplies are stocked in their zone.
  • Keep the Clinic Supervisor informed of any staff issues or problems that need further attention.
  • Assist the Clinic Supervisor with training staff on any new/revised policies and procedures and ensure they are being followed and that additional training is provided to staff as needed.
  • All other duties as assigned as a front desk.
  • Assure compliance with all company plans, policies, and procedures set forth by the Florida Orthopaedic Institute.
  • All other duties as assigned.
About You:
  • High School Diploma
  • 2 years of experience in the medical field

  • Spanish Bi-Lingual a Plus
  • Athena EMR experience
